AI Marketing Operations System

Update your knowledge base once. Every channel updates itself. Thirteen-plus content formats — LinkedIn posts, carousels, blog articles, newsletters, case narratives, competitor audits, weekly industry scans, and more — all produced from a single knowledge base. A 1-2 person marketing team operates with the output of 4-5.

The Problem

The firm had a clear market position and good services — but their marketing was inconsistent and reactive. Content got produced in bursts when someone had time, then went silent for weeks. LinkedIn posts didn’t match the website tone. Blog ideas sat in a backlog that nobody maintained. Competitor moves went unnoticed until a client mentioned them.

The marketing function existed in theory but not in practice. And hiring a dedicated marketing person wasn’t justified at their size.

What We Built

A structured marketing knowledge base — brand voice and tone guidelines, reference posts showing the target style, a publishing schedule, industry monitoring sources, key thought leaders to track, a content ideas backlog, and reusable prompt templates. This is the foundation everything else reads from.

Thirteen-plus content formats, each with a clear purpose:

Weekly industry scan — every Monday, curates 5-10 relevant industry news items aligned with the company’s verticals. Summarises key themes, flags emerging opportunities, and suggests content angles.

LinkedIn post writer — produces posts in the company’s defined voice: industry insights, thought leadership, anonymised client wins, event announcements. 150-300 words, conversational tone, clear call to action.

Blog article writer — long-form content, 800-1,500 words. Topics pulled from the maintained backlog. SEO-aware, includes practical examples, links back to services where relevant.

Newsletter compiler — monthly digest: curated industry stories plus company updates. Structured, scannable, ready to send.

Sales collateral generator — one-pagers, pitch materials, and case study drafts. Highlights ROI, uses real (anonymised) metrics, tailored to specific verticals.

Competitor audit — quarterly analysis of competitor positioning, new service launches, and messaging changes. Maps the landscape and flags differentiation opportunities.

Content repurposer — converts existing content across formats. Blog post becomes a LinkedIn thread. Case study becomes a carousel. Core message stays intact, format adapts.

Reactive social posts — fast-turnaround commentary on breaking industry news. Timely, sharp, with the company’s perspective.

Content calendar planner — plans the next month: assigns topics, themes, and formats across all channels. Cross-references the ideas backlog, publication schedule, and seasonal relevance.

Case narrative writer — turns project outcomes into publishable case studies and client stories.

Add a case study or update a service description in one place, and every format across every channel reflects it.

The Result

Content output increased roughly fourfold. Weekly planning dropped from two days to about two hours — mostly review and approval rather than creation from scratch. The company now has a consistent, visible presence across LinkedIn, their blog, and industry conversations. Brand-consistent output by design — every piece of content is grounded in the same knowledge base.
