AI-Assisted Proposal & Pre-Sales System
One conversation in. Three branded documents out. After a scoping call, this system produces a Word statement of work, an Excel delivery breakdown, and a PowerPoint client deck — all from the same input. Every number, date, and deliverable is cross-checked. 5x faster than manual proposal creation.
The Problem
Putting together a proposal meant pulling from a mix of old documents, rewriting content for each client, manually building pricing in spreadsheets, and then producing a separate statement of work and project charter once a deal was signed. Each step took time, introduced inconsistency, and created gaps between what sales had promised and what delivery received.
What We Built
A structured knowledge library — service descriptions, pricing components, and capability content organised into reusable building blocks rather than scattered documents.
An AI drafting layer — reads the opportunity context and assembles a first-draft proposal from the knowledge library, tailored to the specific client and situation. One scoping conversation produces three branded outputs.
A service and pricing calculator — rebuilt the pricing logic to handle bundled services, tiered options, and multi-year deals in one place.
Automated downstream documents — the system generates a Word statement of work, an Excel delivery breakdown, and a PowerPoint client deck. Every number, date, and deliverable is cross-checked across all three documents. No reformatting, no copy-paste errors.
The Result
Proposal preparation time dropped by around 5x. The pre-sales cycle shortened by 2-3x. One source of truth, three consistent outputs. The handover from sales to delivery became a structured process rather than something rebuilt from scratch each time.
